A smart class is only as good as what plays on it
Most schools spend months choosing the panel and about forty minutes choosing the content. That ratio is backwards. The panel is a display — it will do its job for years regardless of which brand you pick. The content is what your teachers touch every period, and it is the part that quietly decides whether the room becomes a teaching tool or an expensive whiteboard.
The evaluation is usually a demo, and a demo is designed to go well: the vendor drives, picks the chapter, and brings their own laptop and hotspot. That is no evidence about the other four thousand assets, or about how the content behaves on a Tuesday when the broadband is down.
What follows is a checklist you can use against any provider. Each item is a question you can put in writing, and most can be settled in one meeting if you insist on driving.
Curriculum mapping: ask for the sheet, not the sticker
Every brochure says "mapped to CBSE". The phrase carries almost no information. Ask instead for the mapping document — a spreadsheet listing every asset against class, subject, chapter, and topic. A provider with real mapping will send it; one without will offer to walk you through the app instead.
Then check depth before breadth. Libraries are thickest where production is easiest: middle-school science, geometry, the chapters with obvious visuals. Look at the ends instead — Class 1 and 2, where on-screen language matters most, and Class 11 and 12 for the streams your school actually offers.
Check granularity too. One forty-minute video per chapter is a recorded lecture, and it will sit unused because no teacher wants to surrender an entire period. A set of short clips per concept — one idea at a time — is something a teacher can drop into an explanation.
Finally, spot-check. Take the textbook your school is using this year, open a chapter in the middle of the term, and ask the vendor to show it live. Ten minutes of this beats the whole brochure. If you follow a state board, check against the state textbook — a library mapped to NCERT is not automatically mapped to your board, and reordering topics is work your teachers will end up doing.
Panels, formats, and the compatibility questions nobody asks
Smart-class content arrives in more shapes than buyers expect: an Android app, a Windows application needing an OPS module, an offline HTML package, a folder of plain video files, or a browser platform that assumes a connection. Each has different failure modes on the panel you already own.
Ask the concrete questions. Which operating systems are supported, at which minimum version? How much RAM does the player need — content that is smooth on the demo unit can stutter on a four-year-old classroom panel. Is the content playable outside the vendor player, or is a proprietary app the only way in? Standard MP4 files are the safest insurance, because they will still open in five years whatever happens to that app. Ask about master resolution too, and view a sample on a panel the size of yours: a large display is unforgiving of low-resolution content.
Then run the only test that settles it: ask the vendor to install on your panel, in your building, before you sign. If a proper trial requires a purchase order first, that is worth noting.
Offline behaviour, because the connection is not a given
Almost every demo runs online. Almost every school has weeks where the internet does not cooperate. The gap between those two facts is where a lot of smart-class disappointment lives.
Ask precisely what "offline" means here. There are several versions: content stored locally on each panel, content served from a school server over the local network, a download-and-cache model, and streaming-only products that describe a small cache as offline support. Each is legitimate for some schools; they are not interchangeable.
Then ask about licence check-ins. Offline content often still phones home periodically to validate the licence. Find out how often, and what happens if the school is disconnected for two weeks during exams. A library that goes dark because a token expired is a support incident worth discovering during evaluation.
Also settle the logistics: storage per class-subject set, whether the panel has room, and how updates reach an offline installation.
The teacher test: can she find Chapter 7 in under a minute?
The most common way smart-class content fails is not that it is bad, but that teachers stop opening it around week six because using it costs more time than it saves.
So test that directly. During the demo, take the remote from the vendor and hand it to a teacher who has never seen the product. Name a topic she will teach next week and ask her to find it. Time it. Under a minute without help means the navigation is usable. Three minutes of scrolling through menus means she will not do it during a period change.
Check the surrounding friction as well. On a shared panel, does every teacher need her own login, and how long does that take? Can she jump to the middle of a video, bookmark a clip, or line up a sequence the evening before rather than in front of thirty students?
Then ask a question the sales team may not expect: what is the teacher supposed to do while the content plays? Long lean-back videos push her out of her own classroom. Short clips that stop at natural points, with annotation over the frame and a worksheet attached, keep her in charge of the lesson.
Language, licensing, and what happens when the contract ends
Match the content to your actual medium of instruction, which is often not the medium on the signboard. Many English-medium schools explain in a mix of English and the regional language, and content that exists in only one of those will be used selectively. Ask which languages are available and at which level — a second audio track, captions, or fully localised on-screen text — then ask which classes and subjects have the second language. Libraries are often bilingual in name and bilingual in only part of the catalogue.
On commercials, understand the model rather than the number. Content is sold as a per-classroom annual subscription, a per-student fee, a one-time purchase, or bundled into the hardware price. Bundled content deserves scrutiny: find out what year two costs once the hardware invoice is behind you. For subscriptions, cap renewal pricing in writing now. Then ask what buyers most often skip: what happens when the contract ends? Does the content stop playing? Are downloaded files wiped? Do the lesson sequences your teachers built survive, and can you export them? Get that in the agreement rather than an email — it is the clause that becomes contentious at renewal.
Support, training, and a script for one meeting
Training is an annual event, not a launch-day one, because teachers change in April. Ask how many sessions are included, whether they are onsite or remote, whether refreshers for new staff are chargeable, and whether you get materials your senior teachers can use to induct colleagues without waiting for the vendor.
For support, agree three things in writing: a named contact rather than a generic inbox, a response-time expectation for broken deliverables, and a commitment to replace defective files. Settle accountability across vendors too, because when a lesson will not play, the panel supplier and the content supplier each have an incentive to point at the other.
To compress all of this into one meeting, run it in this order: ask for the mapping sheet and spot-check a chapter from your current textbook; install on your own panel; disconnect the internet and try to teach; hand the remote to a teacher and time her; switch the language and see how far the catalogue goes; then ask for the licence terms and the end-of-contract clause in writing. A provider who handles all six well is worth shortlisting. One who deflects three of them has told you something useful, at no cost to you.
